Terms, Conditions and Rental Agreement

Please read the following information below before booking with us!

PLEASE NOTE: Check out after 4 pm will incur an additional cost of 75 USD or 500 TTD.

IF EARLY CHECK IN IS ACCOMADATED, PLEASE BE ON TIME! A GRACE PERIOD OF 1 HOUR ADDITONAL WILL BE GIVEN TO GUESTS TO YOUR REQUESTED TIME. 

IF LATE AN ADDITIONAL COST OF 200 TTD WILL BE APPLIED. 

Rental Terms 
  • Full Name must be provided to the Property Manager before making a reservation / booking.

  • Reservations are held for 24 - 48  hours without payment. Time will be based on the requested dates of reservation. Once no down payment  have been received the dates will be  given to the next interest party.

  • Once confirmation of availability of dates, a copy of the receipt of the DOWN PAYMENT must be sent to our Property Manager via What's App or Email. 

  • The full name of Each Person staying in each apartment must be given to the Property Manager and written on the contract provided at check in. 

  • A copy of guests ferry / plane ticket will be requested before arrival. 

Accommodation Capacity 
  • Each apartment has a maximum guest capacity. 

  • Persons ages 12 and over are counted as an adult.

  • Persons ages 3 - 11 are counted as children. 

  • If the number of guests are found exceeding the maximum capacity, this will be considered a breach of  Our Contract and Terms and Conditions, and the Property Manager reserves all rights to evict all persons from the premises without any refund of monies paid including incidental charges. 

  • When booking for an event, a maximum capacity is allowed on the property. If the agreed number of persons exceed the max capacity, the CLIENT would be in breach of Our Contract and Terms and Conditions, and therefore the Incidental Charge will be forfeited. â€‹

​Arrival and Departure
  • Guests will be greeted upon arrival at the property. 

  • Complimentary transportation  is provided for 5 guests and under. (Subject to availability) 

  • If transportation  is required ( complimentary pick up, taxi for hire or rental vehicle), this must be arranged at least 7 working days prior to your arrival.  This can be  discussed with Property Manager  when making the booking).

  • A walk through of the apartment or property will be conducted with booking personnel before keys are handed over to show that all items are in working order. 

  • A copy of Our Contract will be provided to the booking personnel which will require their signature agreeing to our Terms and Conditions. This will also be provided when before making the reservation. 

  • On departure, guests will be asked to be full dressed for checked out. Check out is at 11 am  unless otherwise arranged.

  • Keys will be collected upon check out.

Guests Conduct 
  • Loud Music is not allowed on the property. Music MUST NOT cross 80 decibels.

  • NO fireworks or explosives are to be BROUGHT or USED on compound. The property extends to the highwater mark on the beach as delineated by the rocks placed in front of the house.  If found using fireworks or explosives on our property GUESTS BEAR ALL LIABILITIES TO PERSON AND PROPERTY, SHOULD DAMAGE ARISE and GUESTS WILL BE EVICTED FROM THE PROPERTY WITHOUT REIMBURSEMENT OF RENTAL AND FOREFIT OF INCIDENTAL FEE.​

  • Illegal substances ( including marijuana ) are NOT to be brought or used on the property. If found using illegal substances on our property GUESTS WILL BE EVICTED FROM THE PROPERTY WITHOUT REIMBURSEMENT OF RENTAL AND FOREFIT OF INCIDENTAL FEE.

  • The use of obscene language is NOT allowed on the property. 

  • No urinating in pool or around the property ( plants, trees, hedges, garage area  etc). Please use bathroom provided. If found urinating around the property a clean up fee of 300 TTD  will be deducted from the Incidental Charge.

Welcome Pack 
  • A complimentary breakfast starter pack will be placed in the apartment before arrival of guests.  This contains eggs, bread, milk, tea, coffee, water, juice etc. The items will differ based on guests dietary restrictions and allergies. 

Parking 
  • Each apartment are designated  2 parking spots on the property. Please park in designated area .

  • Additional vehicles must be parked elsewhere. DO NOT BLOCK ELECTRIC GATE. 

  • We ask that all visitors of guests be mindful that parking is provided to OUR GUESTS and shared amongst the apartments. 

Special Offers 
  • Discount specials:

  • Stay for 7 nights pay for 6 nights, Stay for 14 nights pay for 12 nights, Stay for 21  pay for 18 nights etc.

Housekeeping 
  • Housekeeping and laundry is provided 2 times per week for guests staying 7 nights and more.

  • Towels will be changed every 3-4 days. ( 1 bath and 1 pool towel per person)

  • Laundry service: available upon request.  

  • If in need of additional housekeeping during your stay this can be provided at an additional cost of 300 TTD per day.  

WIFI, Electricity and  Rough Seas

  • Pride of Courland Tobago accepts no liability for WiFi or Electricity outages or downtime as this service is outsourced.

  • No damages will be accepted for the non-availability of the service.

  • Access to illegal activity or use of our network for illegal activity is prohibited and will be reported to local authorities. 

  • Pride of Courland Tobago accepts no liability for rough seas as this is out of our control. In the event of a rough sea bulletin, management will notify guests. WE DO NOT RECOMMEND BATHING IN THE SEA DURING SAID BULLETINS. MANAGEMENT ACCEPTS NO RESPONSIBLITY OR LIABILTY OR INJURY FOR GUESTS AND THIER BELONGINGS.

Shopping for Groceries and Meals 
  • Shopping for groceries can be arranged and placed in the apartment prior to arrival. Budget and list of items must be provided to our Property Manager at least 5-7 working days before arrival. This must be paid to the Property Manager before check in.

  • Meals can be provided prior to arrival on request. A list of restaurants or caterers will be provided based on guests requests.  Orders must be placed with our Property Manager  5-7 working days before arrival. Please note that caterers require 12- 14  working days notice  prior to arrival. 

Insurance Coverage 
  • Pride of Courland Tobago is not responsible for guests safety and well-being.

  • We are not liable for any damage, loss or personal injury which may occur during your stay.

  • As with all foreign travel, it is advisable and recommended, to have relevant travel insurance cover.

  •  All children are not allowed to walk or run around without supervision. 

Tropical Reality

​

  • As Tobago is a tropical island, insects such as mosquitos, rain flies, fruit flies  etc are part and parcel of life. As a result, their presence in no way reflects the cleanliness of our property, and as such is neither cause for complaint nor compensation. 

  •   We recommend clearing all crumbs and food particles from the eating areas, keep all doors and windows closed when raining  to try and avoid these uninvited visitors.  In the unlikely event of such problems, please call the management agents who will endeavor to address the problem as soon as possible. 

  • Guests should be aware that the hurricane season in Tobago runs from June to October. We cannot accept liability for loss of any mains services or failure of appliances. Neither do we accept responsibility for the consequences of the actions or omissions of persons who may control supply of mains services. Furthermore, we are not responsible for any actions taken in the vicinity of the property by any authority over which the owner has no control. This includes outages of mains services caused by adverse weather conditions as all are considered changes due to force majeure.

  • It is strongly recommended that guests take out vacation insurance to cover cancellation fees and any other losses that may occur.  Any claims for compensation loss or injury must be directed to your insurance company and will not be accepted by the owner or their agents.

Force Majeure
  • Neither the owners, nor our management agent, will accept or be held responsible/liable for any loss, damage, injury or changes due to force majeure (e.g. civil action, war or threat of, strikes, riots, closure of airports, delay of flights, cancelation of flights ,prevailing weather conditions including hurricane/tornado etc., acts of God, or any other events beyond our control).

  • It is strongly recommended that guests take out vacation insurance to cover cancellation fees and any other losses that may occur.  Any claims for compensation loss or injury must be directed to your insurance company and will not be accepted by the owner or their agents.

  • In the event of Force Majeure, our management team will try to assist guests within our control. Please note that no refunds will be given due to Force Majeure but you dates can be rescheduled for use up to 1 year, subject to availability.   

Incidental Charges 
  •  Incidental Fees are considered any extra costs or charges that are not a part of your main bill. This is an ADDITONAL 1 NIGHT'S STAY.

  • This is refundable once nothing is broken or damaged in said villa or compound. It will be refunded within four (4) working days after check out, once housekeeping is completed and subject to property being returned in good order.

  • The Incidental Fees cover:

  • 1. Any damages done to Pride of Courland’s apartments/villa and the surroundings. This includes the Electronic Main Gate, Beach Gate, Garage, Pool, Garden, Furnishings and Fittings and all contents of each apartment.

  •  ie burn marks on any surface (including stoves, pots pans etc), ink stains, hair dye stains on any surface, paint, food stains, wine stains, bodily fluids ( blood, vomit etc),  moldy food left in pots/dishes etc , broken furniture and fittings. Please note that you will be billed ( cost and shipping fees) for any items missing or damaged from the apartments. This will be deducted from the incidental Charges made.

  • Please report any breakage/damage to management.

  • 2.  Overcrowding or abuse of the property will result in eviction from the premises without reimbursement of rental and forfeit of incidental fee. Only guests registered during booking can stay overnight on the property. Should you have visiting guests overnighting and exceeding the apartment capacity, you will be evicted, and your rental and Incidental Fee forfeited.

  • 3.  If you decide to vacate the premises before your check out date you will be charged for the use of the property for that day or any part thereof. 

  • 4. The 20 % down payment is NON REFUNDABLE ONCED CHECKED IN.

  • PLEASE NOTE : 

  • ANY EXTRA HOUSEKEEPING / CLEANING REQUIRED AFTER GUESTS HAVE LEFT, OR ANYTHING MISSING / BROKEN THE BOOKING PERSONNEL WILL BE INFORMED AND A DEDUCTION WILL BE MADE FROM THE INCIDENTAL CHARGE. â€‹

Maintenance 
  • Pride of Courland Tobago shall bear the sole responsibility for maintenance and repairs that are caused from wear and tear. If any maintenance issue arises, the guests shall immediately notify management, who will strive to effect repairs as soon as practicable.

  • There shall be no refund or adjustment to the rental fee for unforeseen circumstances and/or circumstances beyond the control of the owners such as disruptions to the supply of electricity, water, television/cable, and internet services; and/or issues related to the pool filtration systems  and air conditioning. 

  • The guests is  obligated to report any problem or damage immediately to the property manager.

  • Failure to report any issues related to the maintenance and/or repair of the villa during the rental period shall result in a forfeiture of the right to make any claim arising therefrom.

  • Any damages done or repairs needed that are caused by guests, cost of said repairs will be deducted from Incidental Charge.  Such as blockages to pool system due to toys, water balloons, over crowding of pool, tampering with pool system, breakage of shower fixtures, breakage of furniture and fixtures etc.
